Marshall Medical Group is seeking a dedicated. motivated and organized Office Manager to join our team at our Georgetown, Kentucky location. In this role, you will oversee the daily operations of our medical office, ensuring efficient workflow, excellent patient service, and strong support for our clinical team.

• Uniform: Employees are required to wear business professional attire in black or white, with no scrubs, casual wear, jeans, or excessive branding allowed.
• Office Operations Management: Oversee the day-to-day operations of the office, office cleanliness, and ensuring all tasks are completed efficiently and in a timely manner.
• Staff Supervision: Supervise and coordinate office staff, ensuring a collaborative and productive work environment. Team meetings such as daily morning huddles.
• Talent Retention: Train new employees for location and assist with performance evaluations.
• Client Relations: Ensuring a seamless experience for patients. Greet patients at check-in, and check-out patients, offer a beverage and hospitality throughout their appointment beginning to end. Provide excellent service by addressing patient concerns, answering questions, scheduling appointments.
• Scheduling & Appointments: Manage client appointments and the booking system, ensuring that all appointments are accurately scheduled and staff members are informed of their daily tasks.
• Inventory Management: Monitor office inventory, track inventory and expiring products, report inventory to COO, and ensure that necessary materials are stocked and available for daily operations.
• Billing and Payments: Oversee billing and payment processes, ensuring accuracy and timely processing of transactions. Handle any billing discrepancies with clients in a professional manner. Additionally, making sure clients do not leave without paying for services or products.
• Compliance and Regulations: Ensure that all office operations comply with applicable health, safety, and business regulations.
• Marketing and Client Retention: Assist with marketing initiatives to promote services and attract new patients. Develop and maintain relationships with regular patients to encourage retention.
• Membership Coordinator: Manage patient memberships, ensuring seamless enrollment, renewals, and updates while providing exceptional customer service. This role also involves maintaining accurate records, coordinating member communications, and supporting the office's growth through member engagement and retention initiatives.
• Budgeting & Goals: Work with finance team to keep the office on budget and moving towards the overall goals of the organization on a daily, weekly, and monthly basis.
• Problem Solving: Address any operational or customer issues that arise, offering solutions to ensure a smooth workflow.
• Collaboration with Management: Report regularly to the leadership team regarding office operations, staff performance, and areas for improvement.
▪ Patient Satisfaction: Courteous check ins and quarterly surveys turned into COO.
▪ Events: Host and plan location events.
▪ Time Management: Assisting with the flow of the office, monitoring the schedules and appointment times, being responsible to navigate the clinical team to get patients in and out most efficiently.
Pay: Hourly rate of $25/hour with bonus opportunities.
